What’s Shared is for the Community: The non-personal, business context attributes from your lists (like job titles or company industries) are contributed to our shared Community Database. This is how we provide enhanced data and insights for everyone on the platform.

1. Introduction
Welcome to Outreach Magic. This Privacy Policy explains the data practices for the Service located at https://outreachmagic.io (the “Service”). The Service is owned and operated by Systems Method LLC, doing business as Outreach Magic (“we,” “us,” or “our”). By creating an account or using our Service, you acknowledge that you have read and understood the practices described in this policy.
2. The Heart of Our Service: Your Private Data vs. Our Community Database
Our platform’s power comes from a unique blend of your private data and a shared, community-sourced database. It is essential that you understand this distinction before using our Service.
A. Your Private Data
This is data that belongs only to you. It is never shared with or made visible to other users. Your Private Data includes:
All leads contact information (like name, email and social media profiles)
All of your campaign information, including email/message copy
All event and deliverability data (e.g., total events, platforms, replies, lead status)
Your account credentials (your email, password) and payment information
B. The Community-Sourced Database (How Data is Shared)
To provide insights, our platform builds a shared database of business context attributes. This database is created from the files our users upload from their own lead generation and data enrichment tools.
Here is how it works:
You Upload a File: You upload a contact list.
We Match and Pool Data: Our system uses the personal data that remains private to you (like an email or LinkedIn URL) as a key to identify contacts. It then adds the associated business attributes from your file to our central Community Database.
Data is Enriched for All: When another user uploads a contact that matches one of yours, our system allows them to see the combined business attributes contributed by you and all other users for that specific contact.
By using our Service and uploading files, you explicitly understand and consent that you are contributing to this Community-Sourced Database.
The attributes contributed to the Community Database are strictly limited to:
Person Job Title
Person Location (City, State, Country)
Company Name
Company Industry
Company Employee Count
Data Accuracy Disclaimer: You acknowledge that the Community Database is created from user-submitted data and is provided ‘AS-IS’ without any warranty. Outreach Magic does not verify, validate, or guarantee the accuracy, completeness, or reliability of any data within the Community Database. Your use of and reliance on this data is solely at your own risk.
3. Your Role and Responsibilities
You are the “Data Controller” for the contact lists you upload to our Service. This means you are responsible for the legality and security of that data. You represent and warrant that you have all necessary rights, licenses, and permissions to upload this data and to grant us the licenses required to operate the Service as described herein, and that your provision and our use of this data will not violate any applicable laws or third-party rights.
Outreach Magic acts as a “Data Processor” for your Private Data, and as a “Data Controller” for the aggregated Community Database.
4. Information We Collect
We collect the data described in Section 2, as well as the following:
Account Information: Your name, email address, and password when you register.
Payment Information: We use a third-party payment processor to handle payments. We do not store your full credit card information on our servers.
Data from Integrated Outreach Platforms: When you connect your third-party sending tools, you authorize us to access your campaign data to provide your reports. This is all treated as your Private Data.
Usage Data & Cookies: We automatically collect technical information like your IP address, browser type, and pages visited to operate and secure the Service.
Advertising and Tracking Cookies: We may use cookies and similar tracking technologies to collect information about your browsing activities on our website to show you relevant advertisements for our Service on other websites.
5. How We Use Your Information
We use your information for the following business purposes:
To provide, maintain, and improve the Service.
To enrich our Community Database with the business attributes you provide.
To create your account and generate your private reports.
To market our services to you.
To communicate with you about your account.
To process payments and manage subscriptions.
To ensure security and prevent fraudulent activity.
6. Sharing and Disclosing Information
We only share your information in the limited circumstances described below:
With Other Users: As described in Section 2.B, Community Data attributes are shared with other users.
With Service Providers: We use third-party companies for services like cloud hosting and payment processing.
With Advertising Partners: We share information collected via tracking cookies with advertising partners to facilitate our marketing campaigns.
For Legal Reasons: We may disclose information if required by law, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
In a Business Transfer: If we are involved in a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.
7. Data Security and Retention
We use commercially reasonable technical and organizational measures to protect your information. However, no method of transmission over the Internet or method of electronic storage is 100% secure. Therefore, while we strive to use acceptable means to protect your data, we cannot guarantee its absolute security, and you provide it at your own risk. We retain your Private Data for as long as your account is active or as needed to comply with our legal obligations. Community Database attributes are retained indefinitely as part of the platform’s aggregated dataset.
8. Information from Children
Our Service is not directed to or intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will take steps to delete such information from our files.
9. Prohibition of Sensitive Data
You agree not to upload or provide any data that is considered ‘sensitive personal information’ or ‘special categories of personal data’ under applicable law. This includes, but is not limited to, government-issued identification numbers, health data, biometric data, or data revealing racial or ethnic origin, political opinions, religious beliefs, or trade union membership.
10. International Data Transfer
Your information may be transferred to and processed in the United States. We will take steps to ensure that your data is treated securely and in accordance with this policy.
11. Your Data Rights
You may have rights over your personal data depending on your jurisdiction. You can manage some of these rights through your account settings. If you wish to exercise other rights, or if you are an individual whose information has been uploaded to our platform by one of our users and you wish to have your Community Data attributes removed, please contact us. We may need to verify your identity before fulfilling a request.

We reserve the right to modify this Privacy Policy at any time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last Updated” date. Your continued use of the Service after any changes constitutes your acceptance of the new policy.
